Daily walkaround checks from any phone

Drivers open Vekaro on their phone, select their vehicle, and work through a DVSA-standard checklist. Each item is marked pass, fail, or not applicable. Failed items capture a photo and notes, and a defect record is created automatically.

Every check is timestamped, signed off by the driver, and visible to the transport manager instantly. No app to download — it works in the phone browser.

Vekaro includes four default templates based on DVSA guidance: HGV (47 items), Trailer (31 items), Van (26 items), and PSV (33 items). Templates can be duplicated and customised to add items specific to your operation.

Tractor and trailer linked checks

When a driver selects a tractor unit, Vekaro asks if they're pulling a trailer. If yes, the checklist loads both sections — tractor first, then trailer. Both are completed in one flow but recorded as separate assets.

For third-party trailers not in your fleet, the driver enters the registration or fleet number manually. The check is recorded even if the trailer belongs to another operator.

Defect management

When a driver fails a checklist item, a defect is created with a unique DEF reference number. Each defect follows a tracked workflow:

Reported → Acknowledged → Repair Booked → Completed → Signed Off

At every stage, the person responsible is recorded with a timestamp and optional notes or photos. Transport managers acknowledge defects, book repairs with workshop details, and link defects directly to service tickets. When a linked service is completed, the defect is updated automatically. An admin signs off the repair to confirm the vehicle is roadworthy.

Critical defects trigger an immediate email alert to transport managers — not at the next daily digest, but straight away.

Duplicate defect detection

If a defect hasn't been fixed and the driver encounters it again the next day, Vekaro shows the existing defect and lets them confirm it's still present. No duplicate is created. Instead, the confirmation is added to the defect timeline, building a clear record of how long the issue has persisted.

Defect-to-service linking

When booking a repair, the transport manager can link the defect to an upcoming service ticket — adding it to the next PMI, for example — or create a new repair service directly from the defect. The link works both ways: the service shows its linked defects, and the defect shows which service is handling the repair.

Unlimited drivers

Every plan includes unlimited driver accounts. Drivers log in with their email and a quick PIN, complete their check, and log out.

Transport managers create driver profiles and track licence and CPC expiry dates with colour-coded warnings.

The audit trail

Every walkaround check is immutable once submitted. Every defect has a complete timeline showing who reported it, who acknowledged it, who booked the repair, who completed it, and who signed it off. Each entry is timestamped and attributed to a named individual.
